Parish Activity Center (PAC) Rules and Regulations

The following Rules and Regulations regarding the rental of the Holy Trinity Catholic Church (HTCC) Parish Activity Center (PAC) must be abided by before, during and after the event referred to in the Rental Agreement. Failure to do so may result in termination of the Rental Agreement and may void the return of the Rental Deposit. The PAC, in its entirety, consists of the interior and exterior of the PAC building, any and all contents of the PAC building, the playscape, the surrounding yard and the parking lot.

Please remember that the Renter acknowledges the receipt of these Rules and Regulations at the time of the signing of the Rental Agreement.

Rental Fees

Renter agrees to pay the Rental Fee that is shown for each area of the PAC in the Schedule of Rental Fees (SRF). The Rental Fee is due on or before the date of the event. Only cash or checks will be accepted (checks should be made payable to HTCC).

If the Renter exceeds the designated 4 hr. rental time of the Holy Family Room, Renter will be required to pay an additional $25 per half hour of occupation, which will be due before vacating the premises. And, if the kitchen is used for more than just 'coffee and sink use', the Renter will incur an additional $25 fee, which will also be due before vacating the premises.

Rental Deposit

Renter agrees to pay a Rental Deposit at the time of the signing of the Rental Agreement (see SRF for fees). The amount of the deposit required is shown on the SRF and is determined by the area(s) of the PAC that is being rented. After the event, the deposit will then either be returned to the Renter (a check in that amount will be mailed to the Renter), or withheld permanently by HTCC*.

*The withholding of the Rental Deposit may occur if: the PAC (in its entirety) has occurred any damage by the Renter or anyone in attendance of the event; if the PAC (in its entirety) does not meet the Cleaning/Kitchen Standards (see below); if the PAC (in its entirety) is not in the same condition as it was when the Renter first arrived; or if the event is canceled by the Renter after the signing of the Rental Agreement.

Insurance/Liabilities/Responsibilities

Renter agrees that the PAC's insurance coverage does not protect the Renter or the Renter's attendees (including anyone hired by the Renter for services rendered, i.e. caterers, musicians, photographers, etc.) against claims arising from the use of any part of the PAC (in its entirety). Renter is advised to consult with their own legal counsel and/or insurance agency to determine their liability and protection available to them when hosting an event. This statement should be considered whether or not alcoholic beverages are served.

Renter agrees that HTCC will not be responsible for any injury incurred by the Renter or the Renter's attendees (including anyone hired by the Renter for services rendered). This includes, but is not limited to negligence, theft, fire, or any act of God. HTCC does not take any responsibility for lost, misplaced, or stolen personal items from the PAC (in its entirety). This includes items that are placed in the PAC prior to, or the day of, the event, or items that are left behind, either accidentally or purposefully.

The Renter is responsible for the actions of all persons attending the event (including those hired for services rendered). This includes any and all damage to the PAC (in its entirety). If damages occur, the Rental Deposit will be voided and withheld, and the Renter will reimburse HTCC within 10 (ten) days of their receipt of the estimated cost to repair the damages that exceed the amount of the Rental Deposit previously paid.

Renter agrees that, due to liability, no children under the age of 14 will be allowed in the kitchen area at any time during the event. All children in attendance of the event must be supervised by an adult at all times, in any area of the PAC, including the outside - especially the playscape area and the parking lot. Parents of any children injured on the PAC premisRenter agrees that, due to liability, no children under the age of 14 will be allowed in the kitchen area at any time during the event. Parents of any children injured on the PAC premises, due to negligence, will assume responsibility for those injuries and will not hold HTCC responsible.

Renter agrees and understands that the PAC Manager is responsible for the PAC building (in its entirety), including utilities, and will be available to assist the Renter and answer any questions the Renter may have.  The PAC Manager will turn on the air conditioning and/or heat as needed prior to the event and will turn off those utilities after the event is complete.  Renter agrees that they do not have the authority to use the controls for these utilities and may not leave any outside doors ajar during the event.

Renter agrees that the PAC Manager will bring his/her concerns to the Renter's attention if any of these Rules and Regulations are not being abided by, or if a situation is out-of-control. Renter agrees that, should any disputes arise regarding any of these Rules and Regulations, the PAC Manager and/or the HTCC priest (or other designated constituents) will have the final authority.

Music / Sound System

The Renter may furnish music, a DJ or a band. An intercom system and microphone is available for Renter's use.

Renter agrees that all music must remain inside the PAC building and must stop by 10:00 p.m. Furthermore, excessively loud music and/or offensive language WILL NOT be tolerated.

Cleaning/Kitchen Standards

Renter agrees that the PAC (in its entirety) will be left at the end of the event as it was found at the very beginning. A list of the 'Renter's Cleaning Duties' is posted by the janitorial closet in the Holy Family Room of the PAC Building (along with the seating arrangement, which is discussed in the Set-up and Decorating section below).

Renter agrees that the Kitchen should be left at the end of the event as it was found at the very beginning. The counter tops will be wiped clean; the stoves (and ovens if used) will be wiped clean; all dishes/utensils belonging to the PAC will be cleaned and put back where they were found; all dishes/utensils brought by the Renter will be removed from the kitchen; all sinks will be cleaned and wiped dry; all Renter's food will be removed from the refrigerator; all trash will be removed from the garbage cans (in all areas of the PAC - except for the restrooms) and will be taken to the dumpster outside and new garbage can liners will be put back into those garbage cans. The floor of the kitchen must be swept, but does not have to be mopped unless a large spill, etc, has occurred.

Failure to comply with all of the above may result in voidance of the Rental Deposit.

Renter agrees that only those persons who are designated for 'clean-up' at the end of an event may remain in the PAC Building during the cleaning. All other attendees must be gone by the agreed 'finish time' on the Rental Agreement.

The ice from the Ice Machine may be used during an event, but the ice scoop must NOT be left in the machine.

Alcohol

NO HARD LIQUOR IS ALLOWED – anywhere on HTCC property Beer and/or wine ONLY may be served at the event.  All quantities of the beer/wine must be present at the beginning of the event and cannot be restocked during the event.  The parish priest has the right to discontinue the serving of all alcohol at his discretion.

The serving of minors is prohibited.  Alcohol may NEVER be SOLD on any HTCC property.

If the event is a Wedding Reception, Wedding Anniversary Party, or Quincenera Reception, and the Renter is going to serve alcohol, they MUST provide a LICENSED BARTENDER AND SECURITY, WHICH MUST BE PRESENT DURING THE ENTIRE TIME OF THE SERVING OF THE ALCOHOL.

Alcohol can only be served for a 5-hour period and serving is to be discontinued within 30 minutes of the end of the event (i.e. stop serving by 10:30 p.m. for wedding receptions, anniversary parties, or quinceneras, which should end by 11:00 p.m., or by 5:30 p.m. for all other events, which should end by 6:00 p.m.).  Furthermore, alcohol cannot be served before noon on Sundays.

Renter agrees to assume complete responsibility and liability for any and all incidents or accidents that may occur due to the result of the consumption of alcoholic beverages.  The Renter agrees to, in the event of any said incident or accident, hold harmless and indemnify the Bishop of Austin, the Catholic Church, the Diocese of Austin, HTCC and it’s members, officers, agents, servants, employees, volunteers and successors.

Set-up and Decorating

If Renter wants to decorate the PAC, Renter understands that he/she may only decorate the day of the event, with the exception of wedding receptions, for which the PAC Manager and the Renter will agree to a 4-hour time period for the day prior to, or of, the event for decorating. Renter agrees to leave the PAC (in its entirety) and the HTCC premises, in the same condition of cleanliness and repair as they were prior to the decorating.

The following restrictions are to be abided by when decorating: no nails, screws, pins, hooks, tape, glue, or any other materials that may deface the walls, ceiling or woodwork may be used. Pushpins are only acceptable in the carpeting on the walls of the Holy Family Room and the Main Hall only. No bubbles or bubble machines are allowed inside the PAC. No glitter, rice, confetti, birdseed, or flower petals are to be strewn at the PAC (in its entirety). No furnishings will be removed from the inside of the PAC for outside use. Standing or sitting on tables and/or chairs is prohibited for the hanging of items - a ladder or step stool should be brought by the Renter for such purposes. If candles are to be used, they should be in glass containers - such as votive lights or hurricane lamps.

Any balloons or signs that are placed along the roadway leading to the PAC, or at the HTCC/PAC parking lot entrance(s), must be removed at the end of the event.

Tables and chairs may be arranged in any fashion the Renter prefers, but all tables and chairs should be put back to their original setting. A seating arrangement for the Holy Family Room is posted for this purpose and the Main Hall tables and chairs are stored in the side rooms of the Main Hall. See PAC Manager for all specific details.

A Stage is available for the Renter's use. If the Renter wants to use the stage, it will be set-up by HTCC prior to the event, as well as removed by HTCC after the event. The stage set-up/removal fee is $40 and will be added to the Rental Fee at the time of the signing of the Rental Agreement.

Other Rules:

NO WEAPONS, of any kind, are allowed on the HTCC / PAC premises, except by an on-duty officer of the law.

Smoking is strictly prohibited inside the PAC building and within 25 feet of the outside of the PAC building entrances. Renters are responsible for the cleaning up of any cigarette butts from the outside area.

Flammable, noxious, toxic and hazardous materials, drugs and/or other controlled substances may not be brought to the PAC by the Renter or the Renter's attendees (including anyone hired for services rendered).
